innovative physical therapy clinic that has been established for 10
years. We currently employ 6 people who work as physical
therapists, chiropractors, personal trainers and administrative
staff. The founder of the company is a physical therapist and an
instructor for several national seminars and courses. She has grown
this clinic from a sole proprietorship to the corporation it is
today, and the company is now attracting national attention from
other leaders in the field for the innovative approach to wellness

customers. -Role of the Front Desk ReceptionistThe successful Front
Desk Receptionist -candidate will ultimately be helping to achieve
the company's mission of empowering and energizing our clients to
fully participate in their healthy, active lifestyle by providing
world-class customer service to maximize the client's outcomes and
support the Provider Team in giving our clients confidence to get
back to what they love to do. -You will be responsible for the
daily operations of Peak Performance Care, while providing a warm
and welcoming environment for our clients to ensure that they feel
well cared for when they are in our world. You will be an integral
member of the Administration Team and will contribute to system
solutions, accountability metrics and administrative and clerical
support for both clients and staff. -The outcome that we seek from
the Front Desk Receptionist position is to grow the revenue of the
clinic by facilitating our Operations Department and by retaining
the clients that we have (or will soon have as a result of our
marketing). This will involve developing a deep and meaningful
relationship with our clients, spending time getting to know each
one personally and answering their concerning questions about our
services. The Front Desk Receptionist will achieve this outcome by
providing the type of environment our clients look forward to
coming to, and by anticipating our clients' needs or objections
before they even ask for something. Additionally, the Provider Team
will look to the Front Desk Receptionist as their primary support
to ensure they can effectively achieve their outcomes. -Ultimately,
your job is to help us grow the revenue of the clinic by supporting
our Provider Team, efficiently scheduling clients' plans of care,
handling the transactional elements of the Front Desk with
confidence, and excelling at retaining those clients as lifelong
customers of the business. You'll do that by maintaining an
organized and efficient facility, and by creating the type of
customer service experience that clients will be happy to pay for -
and just as happy to tell others about. -To achieve the level of
success that we are looking for, you will be required to:
Communicate the value of our services
(in person and on the phone) and be able to explain how what we do
is worth the price we are askingSuccessfully handle price
objectionsHold a lengthy (at least 15-20 minute) conversation with
clients in person, ensuring that clients are committed and bought
into our serviceEnsure that we are providing an exceptional waiting
room environment for our clients that they'll look forward to
coming back toEnsure that people who attend appointments are
appropriately scheduled for follow ups and understand the true time
and cost commitment to PT, chiropractic, personal training, or
other wellness servicesEnsure people show up excited for their
second appointment after their Evaluation or Discovery
VisitCommunicate with clients before, during and after appointments
to ensure satisfaction is being achievedFoster deep relationships
with clients ensuring unparalleled customer serviceEffectively
manage phone calls requesting modifications or cancellations to a
client's scheduled appointments in such a way that we retain these
clients in the business and that they stay on track with their
original plan of careOrganize and plan all schedules - maximize
efficiency and revenue for the clinicEnsure that all session fees
are paid at the time of serviceReceive incoming mail, sort and
distribute as necessaryManage the 2 email accounts associated with
the businessCreate and send Superbills to clients when
appropriateManage all outgoing faxes and POC sign-offs per
protocolDevelop and perform a monthly update for the Operations
Associate Operations Manual so that every aspect of the role is
documented and can be achieved by anyone else in the
businessMeasures of success in the Front Desk Receptionist
position:
Arrival rate greater than 95%
Provider Utilization Rate greater than 85%Drop-off clients are
rescheduled within 30 days 80% of the timeSuperbills prepared
correctly and on time greater than 95% of the timeFacility remains
in a state of readiness at all timesNet Promotor Score 8/10 for
Admin TeamBroadcast emails are prepared and sent on time per
protocol 100% of the time unless prior exceptions madeA successful
candidate for this position will possess the following skills:
Alertness - Be willing and able to
spot 1) potential referral situations or opportunities for the sale
of other products/services 2) when a client may be disillusioned or
confused with their progress (and likely to drop off)Follow
protocols for written systems and contribute to improvements when
